Project Coordinator – Groups

As a Hotel Engine Project Coordinator – Groups, you will take ownership of all of our Groups customers. You will be responsible for assisting our Project Managers to ensure a seamless group experience. Our Project Coordinators play an important role in a number of vital functions are critical to ensure the Groups team’s success.

Here’s what you’ll do:

  • Organize, manage and facilitate clients’ booking and service requests & oversee all aspects of the pre arrival process such as rooming list and change management
  • Ensure hotel partners are prepared for group arrivals with onboarding materials and instructions when necessary
  • Track and communicate deadlines such as cutoff dates and contract signature dates
  • Work closely with suppliers in negotiating rates and services on behalf of our clients > is this something we will have PCs doing?
  • Proactively work to prevent issues & resolve them efficiently as they arise
  • Advocate for your clients and negotiate with hotel sales teams on their behalf
  • Learn and implement new software to support the team through rapid scale
  • Accurately update and manage our internal database and CRM (Salesforce)
  • Consistently meet or exceed KPI requirements
  • Occasional nights and weekend work may be required to support the client

Here’s what we’re looking for:

  • 1+ years’ experience in an operational, detail-oriented project management role
  • Experience in hotel sales, event coordination or front-office management is a plus
  • Knowledge of Salesforce
  • Ability to handle stress and maintain professional composure, while managing and working on multiple request and projects simultaneously
  • Possesses creative problem-solving skills and pays strong attention to detail
  • Proven organizational, verbal/written communication, project coordination, and leadership skills
  • An innovator: Constantly looking for ways to improve the customer experience

Remote Opportunities:

  • This role is eligible for remote work and you can work from anywhere in the U.S.

Cash compensation: 

  • The base salary for this role is $50,000-$55,000 annually with opportunity for variable based on performance and an expected OTE of $65,000-$70,000k. Final offer amounts are determined by multiple factors, including prior experience, expertise & may vary from the amount above.
